Call for Poster Abstract Submissions to STOP Cancer 2024

Presenting a poster at the STOP Cancer summit will be a fantastic way to share your expertise in a specific area while contributing to the profession. Poster sessions provide authors time to display their work, informally discuss projects, and network with other participants.

Abstract Submission Guidelines for Posters

Abstract Submitter Requirements

  • Be an oncology/hematology physician, nurse practitioner, physician assistant, pharmacist, scientist, clinical nurse specialist, or master’s degree or higher advanced practice nurse, and trainees (students/fellows)
  • Complete all requirements of abstract submission
  • Attend the conference, including the moderated poster sessions, to present the poster should the abstract be accepted

Abstract Submission Requirements

An abstract submission must include the following information and be electronically submitted by the deadline. 

Submitting Author:

  • Full name, credentials, title/position, institution, email, phone number
  • Curriculum vitae (CV) or resume
  • Disclosure form (each author on the abstract is required to complete one electronically)
  • Final abstract title
  • Complete body of abstract (including appropriate subheadings)
  • Declaration of the role of the authors in the work/content presented in the abstract
  • Confirmation of original authorship (completed by submitting author)
  • Completed Copyright Transfer Agreement for Abstracts (lead or representative author approved by the lead author must complete)
  • Permissions, if applicable (may be uploaded as supporting documentation)
  • References (encouraged but not required; may be uploaded as supporting documentation)

Co-Authors:

  • Full name, credentials, title/position, institution, email and phone number
  • Self-completed disclosure form (each author listed on the abstract must complete one)

All author tasks must be completed before the submitting author can submit electronically. Changes to the abstract submission will not be permitted after the submission deadline.

Content

  • Must be objective and free from bias
  • Must be original and novel 
  • Should describe a completed initiative

Topic Category

Two (2) types of posters will be considered:

  • Research & Clinical Posters: Research & Clinical posters focus on research, clinical/evidence-based practice guidelines, medical interventions, novel therapies, patient outcomes, diagnostic methods, public health, and case studies.
  • Encore Posters: Encore Posters are defined as posters previously presented at a national or international hematology/oncology conference but contain information of interest and importance to clinicians managing patients with cancer. Encore posters must not be more than 16 months removed from the STOP Cancer abstract submission deadline (May 15, 2024) from their last presentation. Encore posters may be submitted and presented, if accepted, by an author on the original abstract or an industry representative with permission.

Subcategories

Abstracts will be accepted in the following categories:

  • Precision oncology
  • Targeted therapy
  • Early phase and targeted trial design
  • Translational studies
  • Biomarker and translational studies
  • Molecular medicine
  • Drug discovery and design

Title
The title at the time of submission will be the final title used in all references to the abstract, including the poster and poster listings. Acronyms and brand names of drugs are not permitted in the title. Names of institutions in abstract titles are strongly discouraged. The title is not included in the word count.

Body and Word Count
Abstracts should be no more than 250 words or less, and must include a purpose statement. 

Section Headings
The abstract must be organized with section headings. Example section headings:

  • Background 
  • Methods
  • Results
  • Conclusions
  • Recommendations

Tables
Tables are not allowed within the body of an abstract, but may be used on posters.

Generic/Brand Names
Generic names may be used for drug mentions in abstracts and titles. A brand name may be added in parenthesis after the generic name, at first use only, in the body of the abstract but not in the abstract title.

References and Permissions
References and/or permissions should be uploaded as separate documents.

Projects in Progress
Abstracts eligible for review should describe completed work. Projects in progress may be considered for review if initial outcomes provide compelling information impacting the practice in oncology or hematology. Late-breaking data past the submission deadline may be discussed by the poster presenter during the moderated poster presentation. 

Abstract Authors
A maximum of 10 authors is allowed. All correspondence regarding a submitted abstract will be directed to the submitting author. Abstracts may not be written or submitted by parties on behalf of authors.

Accepted Abstracts
Accepted abstracts will be eligible for poster presentation during STOP Cancer Conference, August 22-24, 2024, at the Four Seasons Hotel Las Vegas in Las Vegas, Nevada. Decision notifications will be emailed to the submitting author by June 15, 2024.

Poster Presentations
Submitting authors whose abstracts are accepted for poster presentation will be contacted with additional details and next steps in the process, including, but not limited to, poster numbers or other identifiers, specifications for poster development, presenter tasks, presentation date and times, and any additional requirements for final approval.

The presenting author will have tasks with deadlines, such as:

  • Confirming the author profile information
  • Uploading an author photo
  • Uploading an author bio
  • Uploading the final poster as a one-page PDF

Presenting a poster at the STOP Cancer summit is a voluntary effort and Horizon CME cannot pay expenses for your participation. If your submission is accepted, you are responsible for your own meeting registration fee and travel expenses. All presenters must be registered for the meeting, at least for the day of your poster presentation. Accepted abstracts, poster PDFs, and presenting author information will be available to registered conference attendees digitally.

  • Submissions will be peer-reviewed by a selection committee for quality and relevance. 
  • Posters may no larger than 36 inches by 48 inches in size
